This policy explains how Kickstart Bahrain W.L.L. (“Kickstart”, “we”, “us”) collects and uses personal data when you visit kickstart.bh, book a space, reserve a membership package or use the Kickstart members’ area. We process personal data in line with the Kingdom of Bahrain’s Personal Data Protection Law (Law No. 30 of 2018) and, where it applies to you, the EU General Data Protection Regulation (GDPR).
1. Who is responsible for your data
Kickstart Bahrain W.L.L. (Commercial Registration No. 117024-1), 2nd Floor, Office 209, Falcon Tower, Diplomatic Area, Manama, Kingdom of Bahrain, is the controller (data manager) of your personal data. For any privacy question or request, email [email protected] or call / WhatsApp +973 6637 0888.
2. What we collect
- Contact details — name, email address, mobile number and company name you give us in forms (such as tour and event registrations), by email, WhatsApp or at the front desk.
- Bookings — the space, date, time, meeting title and price of meeting room, conference room and day pass bookings.
- Membership reservations and verification (KYC) — the package you request, preferred start date, and copies of your CPR, passport and, where relevant, Commercial Registration (CR). We need these to issue a membership agreement and a registered CR address.
- Membership and billing — company name, CR number and dates, agreement and incubation dates, plan, invoices, payments and balances.
- Members’ area account — your login email, password (stored only in encrypted, hashed form), role in your company, and anything you choose to add: profile photo, headline, bio, skills, LinkedIn and website links, company logo and description, messages, board posts, event sign-ups and requests to our team.
- Technical data — IP address, browser type and security logs our servers record, and cookies as described in our Cookie Policy.
3. Why we use it and our legal basis
- To provide what you asked for (performing a contract, or steps before entering one): confirming bookings, reviewing reservations, preparing membership agreements, providing your CR address, running your members’ area account, and sending confirmations, invoices and reminders about agreement expiry and CR renewal.
- To meet legal obligations: verifying identity and company details for registered addresses, keeping accounting and VAT records, and responding to lawful requests from authorities.
- Our legitimate interests: keeping our systems and premises secure, preventing fraud and misuse, running and moderating the member community, and improving our services. We balance these against your rights and you can object at any time.
- Your consent: non-essential cookies and embedded content, appearing in the member directory, and optional marketing emails. You can withdraw consent at any time without affecting what happened before.
4. Who can see your data
- Kickstart staff who need it for their work. Identity documents are stored privately and are visible only to our team.
- Other members see only what you choose to show in the member directory and community (for example your name, photo, company and headline). You can hide your profile in the members’ area.
- Service providers acting on our instructions: website hosting and security (Hostinger, Cloudflare), email delivery and newsletters (such as Brevo, SendGrid and Mailchimp), WhatsApp Business, accounting and invoicing (Zoho Books), and internal workflow tools (such as ClickUp and Make). They may only use your data to provide their service to us.
- Analytics and advertising platforms — Google (Analytics, Ads) and Meta (Facebook/Instagram) — but only if you accept analytics or marketing cookies. They process this data under their own privacy policies.
- Authorities and advisers when required by law (for example the Ministry of Industry and Commerce or the National Bureau for Revenue) or to protect our rights, and our professional advisers under confidentiality.
We do not sell your personal data.
5. International transfers
Some of our service providers store data outside Bahrain, for example in the European Union or the United States. Where this happens we rely on providers with appropriate safeguards and transfer only what is needed.
6. How long we keep it
- Identity documents from reservations that do not go ahead are deleted within 90 days.
- Membership, booking and invoicing records are kept for as long as you are a member and afterwards for the period Bahraini law requires for commercial, accounting and tax records (currently at least five years).
- Members’ area profile content (photo, bio, posts and messages) is deleted or anonymised within 12 months after your membership ends, unless we need to keep it for a legal claim.
- Cookie choices are kept for six months.
7. How we protect it
Data is sent over encrypted connections (HTTPS), passwords are hashed, identity documents are kept in private storage that is not publicly accessible, and access is limited to staff who need it.
8. Your rights
You can ask us to: access your data or receive a copy; correct it; delete it; restrict or object to how we use it; and, where we rely on consent, withdraw it. Members can update their profile and download a copy of their data at any time from Profile → Privacy in the members’ area, and send us a deletion request from there. Otherwise email [email protected]. We reply within 30 days. We may need to keep some records where the law requires it, and we will tell you if so.
If you are unhappy with how we handle your data, please contact us first so we can try to resolve it. You can also complain to Bahrain’s Personal Data Protection Authority (www.pdp.gov.bh, [email protected]) or, if you live in the EU, to your local data protection authority.
9. Children
Our services are for businesses and adults. We do not knowingly collect data from anyone under 18.
10. Changes
We may update this policy. The date at the top shows the latest version; for significant changes we will notify members in the members’ area.
